Making Changes Work

When Baker Tilly, Brighton - the 7th largest chartered accountancy and business advisory firm in the UK - decided to make a break from their old traditional offices they wanted a flexible modern workspace that would increase efficiency, be more comfortable and welcoming. "And it had to reflect our passionate commitment to clients" added Sarah Budde, office manager and PA to Jonathan Ericson, the office managing partner. They finally chose Brighton's prestigious International House, taking a complete 506 sq metre floor on a long-term lease. In order to convert their ambitions into reality they selected Woodman as their preferred partner supplier on the basis of their proven record of delivering clients concepts/ideas and plans, on time and on budget.

The Challenge

This new concept called for large, interactive open plan work areas, rather than the traditional small and often cramped individual offices that most accountancy staff are used to working in. So staff comfort was a major consideration. Additionally, reception, general meeting, break-out / informal zones plus general and specific offices and confidential meeting areas had to be included.

Whilst Baker Tilly had external storage facilities, the new space had to incorporate flexible and easily retrievable corporate file storage facilities. Personal easy access file retrieval storage was also critical for all staff and had to be included in spacious corporate desking and workstations.

Furthermore, the move programme (including information technology and office equipment) had to be carried out without any disruption to normal day to day business. To accommodate a smooth change, the fitout programme of works had to meet the critical 6 weeks deadline including a timeframe to ensure a fail safe IT operational facility for their own IT providers.

The Solution

Firstly, Woodman canvassed and surveyed the opinions of staff and management regarding design and layout. Also, given the importance of storage, a space planning and storage audit was put into action.

The feedback was then incorporated into a concept layout from which a space plan layout and detailed design was produced. Following this consultation process, the open plan design was accepted enthusiastically as was the versatile and easy to access corporate storage wall system.

This complete manage and build project, including supply and installing of new furniture, installation of IT and other mechanical and electrical works, was completed in just 6 weeks. The move was phased over two weekends, as requested by the clients, to ensure new IT systems were completely stable.

Finally, a comprehensive post project satisfaction audit was carried out and a budget report prepared for dilapidations negotiations with the landlord.

The Conclusion

The project was completed, with staff fully operational, on time, on budget.

Three years later Baker Tilly was faced with thedaunting task of smoothly integrating over 100 extra staff and their client portfolio workspace requirements into the practice. "Fortunately a complete second floor was available and again we commissioned Woodman to make it happen . . . in three weeks! Following agreed plans and a 24/7 timetable, they fitted out and equipped the entire 500 plus sq metre space and helped us get everything running smoothly", added a delighted Sarah.

Woodman continue to be Baker Tilly Brighton's preferred supplier for on-going fit out / refurbishment / office furniture requirements influenced by changing business model demands. The most recent project involved taking full responsibility to move and relocate two complete departments which, according to the client, went 'very well'.
